Terms of Use

These Terms of Use cover how you may interact with the OT Logbook software and platform itself — the website, web application, APIs, generated reports, and email communications. They sit alongside our broader Terms & Conditions, which govern the overall service relationship.
1. Your licence to use the platform
Subject to your continued compliance with these Terms of Use and our Terms & Conditions, you are granted a limited, revocable, non-exclusive, non-transferable licence to access and use OT Logbook for the personal purpose of documenting your occupational therapy training (or, in the case of supervisors and admins, of fulfilling your role within the training workflow).
2. Account security
- Keep your login credentials, email OTP codes, and supervisor verification links confidential. They are personal to you.
- Do not share an account with anyone else. Each trainee, supervisor, and admin must use their own account.
- Sign out when you finish using the platform on a shared or public device.
- Notify us immediately via the contact form if you suspect any unauthorised access to your account.
3. Prohibited actions
You agree that you will not:
- Scrape, crawl, or harvest data from the platform.
- Submit logs or contact-form messages through automated scripts or bots.
- Attempt to reverse engineer, decompile, or otherwise discover the source code of the platform.
- Attempt to bypass account approval, supervisor email verification, rate limits, spam protection, or any other security control.
- Upload malware, run penetration tests without prior written consent, or attempt to disrupt the service for other users.
- Misuse the contact form (e.g. for spam, harassment, or repeated automated submissions).
4. Rate limits and abuse protection
We apply rate limits and spam-protection measures (including for the public contact form) to keep the platform available and safe. Any attempt to circumvent these controls is a breach of these Terms of Use and may result in suspension of your access.
5. Email communications
As part of the service we send essential transactional emails (sign-up verification, account approval decisions, supervisor verification requests, weekly progress nudges, contact-form replies, and admin briefs). These are inherent to the service and cannot be unsubscribed from while your account is active. Non-essential newsletters, where we send any, include a one-click unsubscribe link.
6. Reporting vulnerabilities
If you discover a security vulnerability or privacy issue, please report it responsibly via the contact form with subject “Security report”. We are grateful for responsible disclosure and will acknowledge your report.
7. Service availability
OT Logbook is provided on a best-effort basis. As a free non-profit service we do not offer a service-level agreement. We try to keep downtime brief and to give notice for planned maintenance where possible.
8. Changes to the platform
We may add, remove, or modify features of the platform from time to time as it evolves. Where a change materially affects how you use OT Logbook we will provide notice in-app or by email.
9. Changes to these Terms of Use
We may update these Terms of Use from time to time. The “Last updated” date at the top of the page reflects the current version. Continued use of the platform after a change constitutes acceptance of the updated Terms of Use.
